Think of a workspace as the team and data boundary. A workbook is a connected setup inside that workspace, such as Client delivery or Content planning. Sheets hold records; views present those records; dashboards, reports, and documents turn them into useful outputs. One account can join several workspaces, and an account can own up to 25.
Find the right place#
- Home shows workspace search, a recent or featured workbook, quick actions, workbook cards, and direct sheet shortcuts. My work collects records assigned to you.
- On iPhone, use Home, Workbooks, Create, Search, and Explore in the bottom navigation. Create offers Capture an idea, A workbook, and A sheet; viewers do not see Create.
- On wider iPad and desktop screens, use the sidebar. Narrow iPad windows use the phone navigation so the same destinations remain reachable.
- Open a workbook to keep its sheets together with Overview, Reports, Documents, Rules, and Helpers. Back to workbook returns to the containing workbook rather than sending you to an unrelated destination.
- Explore on a phone contains My work, Email, Dashboards & reports, Templates, Helpers, Rules, Team & sharing, Settings, Ask Ralti, your account, and the workspace switcher.
- Switch workspaces to change the team and data you are viewing. Check the visible workspace before editing; work in flight remains tied to its original workspace.
Connect without duplicating#
Sheets can link across workbooks in the same workspace. Use a shared Customers sheet when multiple workflows refer to the same customers. A link cannot cross a workspace boundary. Saved templates can create new sheets or reuse compatible existing sheets after you review the field mapping.
Archive deliberately#
Archived workbooks leave normal browsing and search while their records remain available through existing links. Their layouts are read-only, and their helpers do not run. Archiving is useful for completed work; it is not a substitute for a verified backup.
